New Enterprise Features for Google Drive, Hangouts for Teams, Gmail Add-ons, @meet Launched

In order to deliver more on cloud platform, Google introduced a host of new features to already loaded with more than 300 features to its G Suite. Announced at the Google Cloud Next on Thursday, the new updates and features are aimed to empowering enterprise productivity and secure collaboration through the next generation of tools.

Google notes, that it’s also moving forwared with machine intelligence by integrating it regularly throughout G Suite products, for example, “Explore in Sheets help skipping complex formulas and ask questions in a natural language, Calendar Find a Time intelligently avoids scheduling conflicts and suggests alternatives, and Quick Access in Drive uses context to automatically surface the most relevant files you need.”

First up, Google Drive, which is already helping more than 800 million active users to safely store, sync and share files, today introduces new additions to help enterprises as well with key enhancements:

Team Drives enable teams to simply and securely manage permissions, ownership, and file access for an organization. It’s generally available today for G Suite Business, Education, and Enterprise customers. Team Drives delivers the following:

  • Add new team members individually or with Google Groups and give them instant access to relevant Team Drives.
  • Keep track of files if a team member leaves.
  • Understand and manage sharing permissions by defining the restrictions for editing, commenting, reorganizing or deleting files.
  • Manage and view Team Drives as an admin.

To create Team Drives in G Suite, go to Admin console Apps -> G Suite -> Drive and Docs -> Sharing settings -> Team Drive creation and enable it. “You will have the option to enable Team Drives creation for your entire domain or for specific OUs.”

Howeve, if Team Drives creation is disabled, but users are allowed to receive files from outside organization, “users will still add to Team Drives created by users in other organizations.”

Drive File Stream allows employees to access tremendous amounts of cloud storage content directly from their desktops, without requiring a sync or monopolizing hard drive space. G Suite customers can apply for Early Adopter Program (EAP) HERE.

With Drive File Stream, you can:

  • Access, search and manage files on-demand from your computer in seconds.
  • Get just the files you need and make certain files available for offline use later.
  • Access your work even quicker, as your most-used files become available in the background intelligently.
  • Avoid the risk of users downloading all of your company data to their hard drives.

Google Vault for Drive gains additional controls so admins can manage retention and legal hold policies for Google Drive, including Team Drives. Google Vault for Drive is generally available as well for G Suite Business, Education and Enterprise customers.

“Vault now also allows you to export revisions of your employees’ Drive and Team Drive files from a specific point in time (this applies to Google Docs, Sheets, Slides, and Drawings files). This can be done by simply specifying the desired Version Date in the search form. Note that this feature is not yet available for Google Forms, Apps Script, or any non-Google document types,” writes Google.

Vault for Google Groups lets you search, export, and set retention policies and place legal holds on employees’ Groups content and eDiscovery programs that you use in Gmail for content stored in Groups archives.

AppBridge, joining G Suite team to help largest customers manage some of their most complex data migrations to Drive.

Quick Access for Teams, powered by Google machine intelligence help to access relevant files immediately. It intelligently predicts and surfaces files based on:

  • Who specific files are frequently shared with
  • When relevant meetings occur
  • What files are used at specific times during the day
  • And many others

Quick Access in Drive now works with Team Drives on iOS and Android devices, and is coming soon to the web.

Hangouts is evolving today as well to focus on two experiences that help bring teams together and keep work moving forward with the new “Hangouts Meet” and “Hangouts Chat.”

Hangouts Meet integrates with G suite, is a new video meeting experience that allow up to 30 people to join a meeting within seconds with a shared link. It’s generally available now, and roll out gradually to all G Suite customers over the next few weeks.

Anyone on Android or iOS, without needing a account, plugins or downloads can join from Calendar, and email invite or an ad-hoc share.

For G Suite Enterprise customers, each meeting comes with a dedicated dial-in phone number to help connect employees who are on the road without wifi/data.

Hangouts Meet

For getting started with Meet, G Suite administrator, need to give users in the domain access to Meet, because Meet is launching default off for existing Hangouts users. So, that admins have the flexibility and control to plan and coordinate the rollout of Meet with team and users.

Hangouts Chat with deep integration with G suite, offers teams a new way to connect with each other in virtual rooms, so they can interact and discuss items from Drive and Docs, Sheets, Slides, Calendar and other files including photos and videos directly in conversations.

And, using the new filterable search in Chat, you can easily find all content dating back to the start of the project.

Hangouts Chat @meet Bot

Chat platform also supports a wide range of capabilities from bots to simple scripting using Google App Script. It also seamlessly integrate with other enterprise tools from Asana, Box and Zendesk.

To bring existing workflows into Chat, a new bot @meet using natural language processing and machine learning automatically schedule meetings for team with Hangouts Meet and Google Calendar. @meet will be available for customers that sign up for the EAP of Hangouts Chat.

G Suite customers can apply to try Chat through the EAP.

Gmail Add-ons for G Suite

Integrating G Suite with services to help businesses in every day use, in addition to alread available access across Drive, Docs, Sheets, Slides and Cloud Search—today, a preview of new Gmail Add-ons, a new way to integrate powerful enterprise workflows with Gmail are introduced as well.

Add-ons are triggered by the context of the email, and let G Suite users access their app’s functionality directly from Gmail by just one tap on any device.

With Gmail Add-ons, developers can write an integration once to bring third-party applications into Gmail and deploy it in the Gmail apps on Android, iOS and the web right away.

Intuit, Salesforce and ProsperWorks are already working on Gmail Add-ons, and we encourage other interested developers to sign up today for our Developer Preview.

“Gmail Add-ons are built in Apps Script using a newly-designed “Card” system that lets you easily combine different UI components,” writes the team.

On the other hand, users will be able to install Add-ons via the G Suite Marketplace later this year, as Google is currently developing with select partners and also introduces some amazing integrations as on today:

  • Intuit QuickBooks lets Gmail users and QuickBooks small business customers generate and send invoices and even confirm invoice status without ever leaving Gmail.
  • Gmail Add-ons Intuit QuickBooks
  • ProsperWorks Add-on makes it easy for Gmail users to check the contact info of people on email threads against the information stored in their CRM.
  • Salesforce Add-on allows Gmail users to look up existing contacts, add new ones, as well as associate email threads with one or more existing opportunities in Salesforce, right from the Gmail app. “Sales reps can simply sync a Salesforce Opportunity List View to Google Sheets to bulk edit data,” and “the changes would sync automatically to Salesforce.”

Lastly, Jamboard, will enter general availability this May, and will be available at a price of $4999 plus a $600 annual management and support fee (discounted to $300 for your first year if you purchase by Sept. 30, 2017), Google said.

Jamboard is a collaborative, cloud-first whiteboard that help teams move real-time collaboration upstream in the creative process.
